Auditor, Library and College Admin staff roles


This page provides an explanation of how to navigate using the read-only roles in Canvas: Auditor, Bodleian Librarian, College Librarian and College Admin. Depending on the level access you have been given, you may need to navigate down through the sub-account hierarchy of divisions/departments to find the required course.  

 

You may have been provided with a link to access a particular Canvas course directly. If not, please follows the steps listed below.

 

Subaccounts

Behind the scenes, Canvas is based on an organisational structure known as ‘sub-accounts’.

  • The main account is the University of Oxford which is managed by the central Canvas team.
  • Divisions, departments, faculties and colleges (‘units’) each have their own sub-account/s, which can be managed locally, by granting individuals relevant sub-account roles
  • More fine-grained sub-accounts (where relevant) include Postgraduate Taught (PGT), Postgraduate Research (PGR), Undergraduate (UG), ‘Shared teaching courses’ and sub-accounts for individual programmes of study (PoS). This means that administrators may be given rights over only the part of the sub-account for their unit that is relevant for them to accomplish their duties.

When you have a sub-account role (such as Auditor, Bodleian Librarian, College Librarian, College Admin Staff, amongst others), the Admin button will appear in the Global Navigation bar on the left-hand side (beneath Account). The Admin button provides read-only access to Courses and People across various sub-accounts. This way of viewing all courses in a sub-account is particularly valuable for staff who need to view many courses, since you don't need to be enrolled on each course, and you won't have too many courses filling up your Dashboard. 

How to access and view required courses

  1. Go to canvas.ox.ac.uk, click on Oxford Users and log in with your single signon credentials.
  2. On the left-hand navigation menu, click on Admin – by default this will display one or more sub-accounts to which you have access.
  3. Click on the relevant sub-account name. You will see all courses within that sub-account.
  4. Click on the course you wish to view. You will be able to peruse the course and its contents.
  5. There is also a Library Editor role, which enables subject librarians to add and edit ORLO reading lists within a course.
