Oxford Groups (GET) FAQ


Q. Why do some students appear to be missing from the People tool after I have enrolled a programme group using the group enrolment tool (GET)?

A. There may be several reasons. If you have students missing from GET groups (or rules) and the information provided here does not apply to your case, then please contact canvas@it.ox.ac.uk with details of the problem.

One possibility is that if you have a small number of missing students (e.g. 4 or 5), they might have been suspended (in central University systems). Suspended students coming in from the GET are given two things:

  1. The Suspended Student role (which may have slightly different permissions to the student role); and
  2. Concluded status – this means they show in the prior enrolments list (accessible via the 'three dots' menu in the top right of the People page), and not on the main People page list. It also means that, for the suspended student, their courses will show in the prior enrolments section of their All Courses page (via Courses > All Courses):

Broadly, the intention is that suspended students will be able to see all the content but not participate in any course activities; that is achieved in Canvas by giving them both a different role and concluded status.


Q. Why can't I see (at least the number of) suspended students in the role filtering list in the People tool?

A. Although the Suspended Student role appears by default in the role filtering list in the People tool, there shouldn't ever be active students with that role. All students with the Suspended Student role should also be concluded, and therefore appear in prior enrolments (as described in the answer above) and not the main People list.


Q. How is Canvas access affected for suspended students? That is, if they had been enrolled in Canvas courses using the GET tool, will they have their access removed when they get suspended? And is Canvas access restored when their suspension ends?

A. If they were enrolled using a GET programme group, their role will automatically be changed to Suspended Student, and their enrolment will be marked as 'concluded'. This means they become 'read-only' and can't participate, e.g. take quizzes, post to discussions, etc. And they will revert when they come out of suspension.

Key things to note are that:

  1. Non-GET enrolments will not be automatically updated.
  2. Leading on from 1, if a student has both a GET and non-GET enrolment in the same course, when they suspend, the still-active non-GET enrolment will take precedence, so they will still be able to participate.
