Widening staff access to relevant Canvas courses

Q. As a tutor or librarian, I need to be able to see all the Canvas courses in my department.

This is useful so that if a student asks me about some aspect of a related course I am not teaching, I can quickly respond to them. Similarly it means that I can point graduate students towards specific lecture courses, reading lists or problem sheets they might find helpful for their studies.

A. Auditor, College Admin, College Librarian and Bodleian Librarian are read-only roles at the sub-account (departmental, faculty or college) level. The Library Editor role is also a sub-account role, which enables librarians to add and edit ORLO reading lists within a course.

With any of these roles, a staff member can access all Canvas courses managed by that department, faculty or college.

Granting staff members these roles has the following advantages:

  1. It is the optimal way to provide course access to staff (where they simply need to be able to see courses and their contents).
  2. A Local Canvas Coordinator can do this in bulk (copy and paste the email addresses of all the users that need access to the subaccount within the Admin view).
  3. The staff members who have these sub-account roles won’t be enrolled on courses, so their dashboards won’t become clogged and they won't receive course notifications.

Once you have any of these sub-account roles, you will see the Admin tool in the global navigation menu, which will give you access to your unit's sub-account, where you may browse and access all courses. For example:
