It is possible to request the functionality for Canvas account admins to create temporary enrolment pairings, enabling recipients (temporary enrollees) to gain access to a provider’s (e.g., an instructor’s) course(s) for a specific time frame. This feature streamlines the process for admins to quickly and easily enrol various users, such as mentors, substitute teachers, designers, and other roles, into other users' courses for a specified period of time.

If you wish to have this functionality enabled for your department, faculty or college's sub-account, please send an email to digital.education@ctl.ox.ac.uk, with the subject line "Please enable temporary enrolments for sub-account XXX". Please allow up to 48 hours for the functionality to be enabled.

Accessing the Tool

Click on the Admin link on the left-hand menu and select a subaccount where you are an LCC or Unit Admin.
Click on People and locate the staff member who will be the 'provider' of some (or all) of their existing enrolments. A provider is a user whose courses are shared with another user (the recipient).
To create a temporary enrollment pairing, locate the provider's name.
Then click the Temporary Enrolment icon alongside their name:

Find the intended recipient to be enrolled temporarily into the course(s) of the provider. Search for a user by Email Address, Login ID or SIS ID.
Click the Next button.
Specify the start and end dates and times for the temporary pairing, and the required role for the recipient.
By default, active and published courses where the provider has an Instructor-based role are selected. Click the checkbox next to each course(s) the recipient should have access to.
Click the Submit button.

Warning: At present, when a course is rolled over for the new academic year, the recipient's temporary enrolments will become permanent ones. This would have to be managed manually, if the time for their temporary enrolments has passed.
