Manage Courses (Rollover) - reporting
Besides conducting the rollover of courses, the Manage Courses tool offers several reporting functions. These include: 'Batches' (an audit trail of which couses have been rolled over in a particular sub-account, when and by whom), and 'Reports' (progress and status of course rollover).
The rollover process and reporting functions are restricted to Canvas users with the Local Canvas Coordinator (LCC) or Unit Adminstrator roles.
The Manage Courses tool offers the following tabs: Courses, Batches and Reports.
1. The Courses tab allows you to select courses in batches and perform the rollover process:
2. The Batches tab allows you to undo the rollover of a batch of courses, if you find that it needs to be redone:
The Batches tab allows you to see:
- the status of a batch (e.g. ‘complete’, 'undone' or ‘failed’)
- how many courses were included in a batch
- which courses were included in a batch (click on the number of courses)
- who set off the batch, and when
- the year the batch was rolled over to
- whether enrolments and/or content were included in the batch rollover.
The three dots icon on the right hand side of the row allows you to:
- Undo a successful batch: this follows the same rules as deleting an individual course, i.e. courses cannot be deleted if they are published, rolled over themselves, or more than four months old.
- Retry an unsuccessful batch: courses can only be rolled over if they meet all the criteria (i.e. they have not been rolled over in another batch in the intervening time, their term type has not changed).
3. The Reports tab allows you to filter for particular terms and courses and generate a report. The report shows how far you are through the rollover process, and identify any courses you may have missed.
Select a term, or leave the filter on ‘all terms’. Also select whether you want to see rolled over courses and/or non-rolled over courses. Then click Generate Report.
The time taken to create a report depends on the number of courses in the subaccount. In an average subaccount, generating the report takes seconds. The report will have a status of Requested until it is ready to be viewed.
Once generated, the report can be viewed in the browser, or as a CSV download. The reports will remain forever once generated, to allow you to refer back to previous points in time. It is possible for the person who generated the report to delete it, but only those that you have generated yourself (in order to prevent accidental loss of reports in use).
