Manage Courses (Rollover) - steps after rollover
This page details checks you should make and tasks you may need to manually undertake following the rollover process before the new course spaces are published for students.
1. Apply a course template
- If you have chosen not to rollover existing course content and have a new blank course space, you may apply one of the official Oxford course templates.
- If you have rolled over existing content you can improve your course by adding "building blocks" - excerpts from the complete Oxford course templates.
- If using a bespoke template, do you need to add/edit any Module items (or other content) for the next iteration?
- Check whether Modules should be published or unpublished (e.g. Week 1, Week 2 etc)
2. Update your home page
If a Home page is used, any embedded links to other Canvas courses are static (point to the old course) and will need to be recreated. Links to pages, modules or files within the same course should be updated automatically.
3. Content management
Create and upload new content as required; and/or review/update existing material and resources, especially if embedded in Canvas pages, assignments or modules:
- Tutor/lecturer/convenor names and contact details
- Mentions of course title and year
- Dates for lectures and tutorials
- Course handbooks (or links to where they are stored)
- Folders and files (if copying of content was requested at rollover) - surface links to files (e.g. an item within a module) will be maintained in the new course. However, links embedded within pages will still point to the original course and will need to be updated to point to the destination file(s) that have been copied into the new course.
- Lecture materials
- Panopto recordings – videos are not copied into the Panopto folder in the new course (i.e. where you go when you click "Panopto Recordings"), so these need to be moved/copied from the original Panopto folder. However, videos embedded in Pages or linked from Modules using external tool/LTI links will work in the new course
- Core questions and instructions for Quizzes and Assignments (and adjust dates)
- Any Discussion stems (delete or update, as necessary)
- Announcements – post new ones and delete old ones if no longer relevant
- Calendar entries – do any dates need adjusting?
- Use the Canvas link validator to verify that all links are working (Settings > Validate links in content)
4. Pedagogy

5. LTI tools
Contact the course administrator to complete these tasks, if necessary.
Set up or recreate LTI tools which don’t copy over, such as:
- ORLO – relink to updated reading lists if using the ORLO external tool
- Panopto folders (enable in new course via Settings > Navigation)
- If you have Panopto videos embedded in Canvas Pages, then they should continue to work, including giving access permission to students in the rolled-over course, as long as the videos were embedded using the green Panopto button in the rich content editor toolbar.
- If your existing videos are stored in the Panopto folder corresponding to the original Canvas course, then you will need to copy those over to the new Canvas course folder, using the Panopto interface. To expedite this process multiple videos can be copied to the new rolled-over course as a batch Links to an external site..
- Office 365 apps (e.g. OneNote Class Notebook)
- Check any embedded LTI objects which have been carried over in Pages (these should still work):
- H5P interactive activities: Check that copied activities are working correctly, especially if they are linked to the Gradebook (Grades tool) in the rolled-over course. You can test this either by using the View as Student function in the new course, or by enrolling an alias Canvas account (see the fifth FAQ on our 'accounts' page) in your course with the student role and testing the experience in a different browser.

6. Enrolments
- Enrol all necessary teachers and course administrators in the new course (unless you ticked 'Include enrolments' when doing the rollover - that will include existing staff members in the newly rolled-over course).
- Enrol students in the new course using the Oxford Groups (Group Enrolment) tool (unless you ticked 'Include groups' when doing the rollover - that will include existing Oxford groups in the newly rolled-over course).
The Oxford Groups tool is linked to Oxford central data systems, so you can use it to automatically enrol relevant programme groups in the new course, for the new academic year. This is particularly useful for programme of study courses in Canvas, but might not be relevant for stand-alone courses (where it may be better to enrol students manually - using the People tool). - Does the course need additional manual enrolments, e.g. external users?
7. Check any Groups and Sections
- Any Groups > People will need to be recreated in the new course
- Any Course Settings > Sections will need to be recreated in the new course (including sections associated with a GET rule)
8. Settings > Course details
- Review course details, start and end dates, course navigation menu
- Update any checkboxes, such as term date over-ride
- Update any other items in Settings if these were modified in the original course – these include course Visibility, Format and Language
9. Launch Checklist
Consult the Canvas Course Launch Checklist Download Canvas Course Launch Checklist before you publish your new course.
- If your current course has completed (i.e. come to the end of the term or academic year), do not click ‘End this Course’ or ‘Reset Course Content’ in the course Settings. This would clear all the content in the course.
